Payroll management in Switzerland is a complex process that requires a thorough understanding of labour law, social insurance and taxation. At AX-Fiduciaire, we offer complete payroll outsourcing from CHF 29.- per payslip, including social charges calculation, insurance declarations and annual salary certificates.
Why outsource payroll management?
Payroll management in Switzerland involves far more than simply calculating a net salary. The employer must master AHV/IV/APG contributions, unemployment insurance, occupational pension (BVG), occupational and non-occupational accident insurance (UVG/NBUV), family allowances, withholding tax for foreign employees, as well as numerous cantonal specificities.
An error in calculating social charges can lead to significant retroactive payments, fines and disputes with employees or compensation funds. Outsourcing to a specialised fiduciary eliminates these risks while freeing up time to focus on your core business.

Our payroll management process
Our working method is structured to guarantee reliability and punctuality. Each month, the process follows four key steps:
1. Collection of variable data
Before the 20th of each month, you send us the variable elements: overtime, absences (illness, accident, maternity), staff arrivals and departures, any bonuses. This is done via our secure Odoo platform or by email.
2. Calculation and verification
Our specialists calculate gross and net salaries, apply the social contribution rates in force for 2026, verify withholding tax scales and check the consistency of each payslip. A double check is systematically performed.
3. Validation and payment
Payslips are submitted for your approval before the 25th of the month. Once approved, we prepare payment orders (ISO 20022 file compatible with all Swiss banks). You simply need to validate the payment in your e-banking.
4. Declarations and archiving
We submit monthly or quarterly declarations to the compensation funds, the BVG pension fund and UVG insurers. All payslips are securely archived for 10 years, in compliance with Swiss legal requirements (Code of Obligations, art. 962).

Legal obligations of the employer in Switzerland
As an employer in Switzerland, you are subject to numerous obligations regarding salaries and social charges. Here are the main ones:
- Social insurance registration: every employer must register with an AHV compensation fund, a BVG pension institution and a UVG insurer within 30 days of hiring the first employee
- Payslip issuance: each month, the employer must provide a detailed payslip to employees
- Annual salary certificate: by 31 January at the latest, the employer must prepare and issue a salary certificate for the past year
- Withholding tax declaration: for employees without a C permit, the employer must withhold and remit withholding tax each month
- Document retention: payroll documents must be retained for 10 years (art. 958f CO)
- Pay equality: since 2020, companies with more than 100 employees must conduct a pay equality analysis (GlG)
